Spire is seeking an Office Coordinator to work in our Houston operation. This position will assist the Managing Director of Spire Storage and will be responsible for providing high level executive support while supporting all administrative needs for the office staff in Houston.  We are looking for a highly motivated candidate that is eager to take on the day to day administrative duties of growing organizations while allowing the businesses to run as efficient as possible overall.

Primary duties:

  • Identify, Process invoices, track payments, maintain same electronically
  • Track contracts, statements of work, and change orders electronically
  • Create and track purchase orders in Oracle
  • Process expenses, credit card transactions, cash reimbursements
  • Manage calendars for 2 to 5 executives
  • Schedule, coordinate and order food or supplies for meetings
  • Ensure conference calls are started
  • Ensure executives arrives to meetings timely or notify meeting organizer of conflict
  • Enter time into ADP for most of the office
  • Book and manage travel for 2 to 5 executives
  • Manage customer oriented incoming sales calls, regulatory and vendor calls
  • General office duties - Printing, scan, produce presentations, keep office supplies stocked, some filing
  • Assist with PowerPoint presentation formatting
  • Assist with administrative tasks for new hires and onboarding by coordinating with several departments
  • Keep department informed of company deadlines and updates
  • Ensure subscription and membership renewals are maintained and renewed timely
  • All other duties assigned

Qualifications:

  • 2 + Minimum 5 years of experience in accounting, finance, treasury or financial analysis preferably within a publicly traded company
  • Strong analytical skills required in addition to experience with extracting, manipulating, organizing and summarizing information from databases and information systems
  • Proficiency in use of Microsoft Office suite, particularly PowerPoint and advanced features of Excel
  • Solid written, oral and interpersonal communications skills and ability to create presentations to external audiences as well as Spire’s LC and Board of Directors
  • Experience in investor relations and in the natural gas, energy or utility industries preferred but not required
  • Basic understanding of capital markets and investments

Education and experience:

  • Bachelor’s  Associates degree in business discipline or equivalent.
  • 5 years of administrative assistant experience. Experience working with corporate executives preferred.
  • Proficient with Microsoft Outlook, Microsoft Word, Microsoft Excel, and PowerPoint
  • Familiarity with Salesforce or other customer management database preferred;
  • Strong organization/planning skills
  • Detail oriented with the ability to create and edit documents with minimal supervision
  • Professional skills to deal with outside customers, regulatory agencies and vendors.
  • Ability to multi-task and prioritize work

Work environment:

  • Normal Work Environment - Work is normally performed in a shared office environment
  • Typically, 8 hours a day, Monday through Friday
  • May need to be available after hours, for travel changes
